EasyBook Partner Terms of Service

1. About these terms

These Terms of Service (the "Terms") form a binding agreement between EasyBook AI shpk, registered in Albania ("EasyBook", "we", "us", "our") and you — the business or professional who creates an account on the EasyBook Partner platform ("you", "your", "Partner").

The "Partner Services" means the EasyBook Partner web dashboard at partner.easybook.ai, the EasyBook Partner mobile apps for iOS and Android, and all related EasyBook Partner-facing tools, APIs, and services.

By creating a Partner account or by using the Partner Services, you confirm that you have read, understood, and agree to be bound by these Terms and our Privacy Policy. If you do not agree, do not create an account or use the Partner Services.

A separate set of terms governs use of the consumer discovery and booking platform at easybook.ai by clients.

2. Eligibility

To create a Partner account, you must:

  • Be at least 18 years old
  • Be authorised to operate a business and accept these Terms on behalf of that business (if you are signing up on behalf of a legal entity, you represent that you have authority to bind that entity)
  • Not be barred from using the Partner Services under any applicable law
  • Comply with all licensing, permitting, health and safety, and regulatory requirements that apply to your business

3. Your account

3.1 Registration

You must provide accurate, current, and complete information when you register and keep it updated. EasyBook may verify the information you provide, including via third-party services.

3.2 Security

You are responsible for keeping your account credentials secure. You are responsible for all activity that occurs under your account. We strongly recommend enabling multi-factor authentication.

3.3 Staff sub-accounts

You may invite staff (employees, contractors, professionals) into your organization. You are responsible for managing their access, the appropriateness of the role you assign them, and ensuring they have read and comply with these Terms. Staff accounts inherit the data-protection arrangements that apply to your organization.

4. The Partner Services

The Partner Services allow you to:

  • List your business, venues, services, staff, and availability
  • Accept appointments through the EasyBook discovery platform and through your own channels
  • Manage your calendar, clients, communications, and reviews
  • Send appointment confirmations and reminders to your clients
  • Integrate with Google Calendar and Google Contacts (optional)

The Partner Services currently support cash payments only — clients pay you directly at the time of service. Online payment processing may be introduced in the future, at which point updated terms will apply before the feature becomes available.

We may add, modify, or discontinue features at any time. We will give you reasonable notice of material changes that adversely affect your ability to use the Partner Services.

5. Fees, payments, and taxes

5.1 Subscription fees

Use of the Partner Services may be subject to subscription or other fees as described on our pricing page or in your service agreement. Fees are quoted exclusive of applicable taxes. Where fees apply, you authorize us to charge the payment method you provide for any fees that fall due.

5.2 Cash payments between you and your clients

The Partner Services currently support cash payments only. Clients pay you directly at the time of service. No card, bank, or other payment details flow through the EasyBook platform, and EasyBook is not a party to the underlying payment between you and your client.

You may record transaction amounts and payment status in the Partner dashboard for your own accounting purposes. You are solely responsible for collecting payment, issuing receipts where required, and resolving any payment disputes with your clients.

5.3 No commission on bookings

Because all payments are made directly between you and your clients, EasyBook does not currently charge commission on bookings. If we introduce online payment processing in the future, updated terms (including any commission and payout terms) will be presented to you for acceptance before the feature becomes available to you.

5.4 Refunds and cancellations

You set your own cancellation policy and are responsible for handling refunds to your clients in accordance with that policy and applicable consumer protection law. EasyBook is not a party to the underlying transaction between you and your client.

5.5 Taxes

You are solely responsible for determining, collecting, reporting, and remitting all taxes (including VAT and income tax) that apply to your business and the services you provide. EasyBook may provide reporting tools but does not provide tax advice and is not your tax agent.

6. Your obligations

You agree that you will:

  • Provide accurate information about your business, venues, services, prices, and availability
  • Honour bookings made through the platform; communicate promptly with clients about changes or cancellations
  • Comply with all laws and regulations applicable to your business, including licensing, health and safety, consumer protection, anti-money laundering, data protection, employment, and tax law
  • Treat your clients fairly, professionally, and without unlawful discrimination
  • Maintain appropriate insurance for the services you provide
  • Not use the Partner Services for anything illegal, fraudulent, harmful, or that infringes the rights of others
  • Not attempt to reverse-engineer, scrape, copy, or otherwise misuse the Partner Services, our APIs, or our intellectual property
  • Not introduce malware, attempt unauthorized access, or interfere with the normal operation of the platform
  • Not use the Partner Services to send spam or unsolicited communications

7. Customer data and data protection

When you use the Partner Services to manage personal data about your own customers (name, contact details, appointment history, notes, consultation forms, etc.), you are the data controller and EasyBook acts as a data processor on your behalf under Article 28 GDPR. A Data Processing Agreement (DPA) consistent with Article 28 GDPR forms part of these Terms; contact [email protected] for the current DPA.

As data controller for your customer data, you must:

  • Provide your customers with appropriate privacy information about how you (and EasyBook, on your behalf) process their data
  • Obtain any consents required by law (in particular for processing sensitive data such as health information in consultation forms)
  • Respond to data subject requests directed to you
  • Use the Partner Services only for the purposes contemplated by these Terms and in compliance with data protection law

When EasyBook processes personal data about you as a Partner (your name, email, business information, etc.), EasyBook is the data controller and processes that data in accordance with our Privacy Policy.

8. Listing on the EasyBook discovery platform

If you choose to list on the consumer-facing EasyBook discovery platform at easybook.ai, you grant EasyBook a non-exclusive, worldwide, royalty-free licence to display the information you publish (business name, venue, photos, services, prices, descriptions, ratings, and reviews) for the purpose of operating the platform and promoting your business. You retain ownership of your content. You represent and warrant that you have all rights necessary to publish that content and that it does not infringe any third-party rights or applicable law.

9. Reviews and ratings

Clients may rate and review your business and staff after a booking. EasyBook does not edit reviews other than to remove content that violates our content policies (for example, abusive language, personal data, or unverifiable allegations). You can respond to reviews publicly through the Partner dashboard.

10. Intellectual property

The Partner Services, including all software, designs, logos, trademarks, and content (other than your own content), are owned by EasyBook or our licensors and are protected by intellectual property laws. We grant you a limited, non-exclusive, non-transferable, revocable licence to use the Partner Services for the purposes set out in these Terms. All rights not expressly granted are reserved.

11. Suspension and termination

11.1 Termination by you

You may close your Partner account at any time from your account settings or by contacting support. Closure is subject to settlement of any outstanding subscription or other fees owed to EasyBook.

11.2 Suspension or termination by EasyBook

We may suspend or terminate your account if you breach these Terms, if we reasonably suspect fraud, abuse, or unlawful activity, if required by law, or if your continued use of the Partner Services creates a material risk to EasyBook, other partners, clients, or third parties. We will give you reasonable notice unless immediate action is necessary.

11.3 Effect of termination

On termination, your access to the Partner Services will end. We will retain and process data after termination as required to meet legal obligations, to resolve disputes, and as described in our Privacy Policy. You may request an export of your data before termination becomes effective.

12. Service availability and changes

We aim to keep the Partner Services available 24/7 but cannot guarantee uninterrupted operation. Scheduled maintenance, third-party outages, and unforeseen events may cause downtime. We will not be liable for downtime beyond our reasonable control.

We may modify these Terms from time to time. Material changes will be notified by email, in-app, or by a banner in the dashboard at least 30 days before they take effect (unless a shorter period is required by law or security considerations). Continued use of the Partner Services after the effective date constitutes acceptance.

13. Disclaimers

The Partner Services are provided "as is" and "as available". To the maximum extent permitted by law, EasyBook disclaims all warranties, whether express, implied, statutory, or otherwise, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement.

EasyBook is not a party to the underlying service contract between you and your client. We do not verify the quality, legality, or safety of the services you offer. You are solely responsible for the services you provide to your clients.

14. Limitation of liability

To the maximum extent permitted by law, EasyBook's total aggregate liability arising out of or in connection with these Terms or the Partner Services will not exceed the greater of (a) the fees you paid to EasyBook in the 12 months preceding the event giving rise to the claim, or (b) EUR 100.

EasyBook will not be liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profits, revenue, data, or business opportunities, even if advised of the possibility of such damages.

Nothing in these Terms limits liability that cannot be limited under applicable law (such as liability for fraud, death, or personal injury caused by negligence).

15. Indemnification

You agree to indemnify and hold harmless EasyBook, its affiliates, and their respective officers, employees, and agents from any claims, damages, losses, liabilities, and expenses (including reasonable legal fees) arising from:

  • Your breach of these Terms or any applicable law
  • The services you provide to your clients
  • Your treatment of your clients' personal data
  • Any content you publish on the platform (including business information, photos, descriptions)

16. Governing law and disputes

These Terms are governed by the laws of the Republic of Albania, without regard to conflict-of-laws principles. The courts of Tirana, Albania, have exclusive jurisdiction over any dispute arising out of or in connection with these Terms, except where mandatory consumer protection law provides otherwise.

17. Miscellaneous

Entire agreement. These Terms (together with the Privacy Policy, Cookie Policy, DPA, and any pricing plan or service agreement) are the entire agreement between you and EasyBook regarding the Partner Services.

Assignment. You may not assign these Terms without our prior written consent. We may assign these Terms to an affiliate or in connection with a merger, acquisition, or sale of assets.

Severability. If any provision of these Terms is held to be unenforceable, the remaining provisions will remain in full force and effect.

No waiver. Failure to enforce a provision is not a waiver of our right to do so later.

Notices. We may send notices to you by email, in-app, or through the Partner dashboard. You may send notices to us at [email protected].
